Six Distinct Advantages
Defined Scope in Writing
Every engagement begins with a written agreement describing exactly what Vellumkin will and will not do. Families know from the outset that we record and organise — and that interpretation remains with qualified professionals.
Bilingual Delivery
All glossaries, checklists and briefing materials are produced in English and Bahasa Malaysia. Multi-generational Malaysian families can read and use the materials without needing a translator.
Family-Controlled Digital Mirror
The scanned copy of your archive is delivered on media you own. No third-party cloud accounts are created on the family's behalf. The digital record stays with the family, not with us.
Gap List Included
We note in writing which items appear to be absent from the collection. Families arrive at solicitor appointments knowing what they have and what they still need to locate — rather than discovering gaps mid-meeting.
No Referral Fees
Our practitioner directory lists qualified professionals based on registration and location alone. We receive no payment from any professional on the list — the referral is informational, not commercial.
Unhurried Appointments
Estate administration is not a rushed process, and our appointments reflect that. Sessions are scheduled with sufficient time to work carefully. We do not see the next family until the current one has finished.
Examined in Detail
Each Benefit, Explained
Records Management Expertise
The Vellumkin team comes from document management and archival administration backgrounds. This means the indexing, labelling and naming conventions we apply are drawn from professional records practice — not improvised on the day. A completed Vellumkin archive follows the same logic that a professional records room would apply to any institutional collection: consistent references, clear labels, and a contents index that a new reader can navigate without asking questions.
Structured, Repeatable Process
The same sequence of steps is followed for every Family Archive Assembly: an inventory at the first appointment, organisation and labelling at the second, and final review with the printed contents page and gap list at the third. Families know what to expect at each stage. The Provenance and Register Programme adds a chronology layer and ends with a bound register and a summary sheet designed specifically for handover to a legal or estate professional.
Calm, Considered Appointments
Families dealing with a relative's papers are often managing difficult circumstances at the same time. Our appointments are quiet and methodical. The records room at Jalan Tun Perak is set up for work — a long table, good lighting, and enough space to spread out whatever is brought in. We do not rush. Nothing is hurried out the door. A second team member verifies every index entry before it leaves the building.
Transparent, Inclusive Pricing
Each service is priced to include all materials: the printed glossary, labelled dividers, contents page, gap list, naming convention sheet, digital mirror, and practitioner directory. There are no add-on charges for the scanned copy or for producing the gap list. Families see the price before the first appointment and that price does not change during the engagement.
Families Arrive Prepared
The measurable outcome of working with Vellumkin is that families arrive at appointments with solicitors, estate planners and other professionals with their papers already organised, indexed, and gap-listed. Professional time spent hunting for documents or deciphering which paper is which is reduced significantly. Families report that the first meeting with their chosen professional goes more smoothly and focuses on substance rather than administration.

What Only We Offer
Unique to Vellumkin
The Provenance Sheet Template
Our four-month programme produces a provenance note for each item where the family can evidence origin and custody. This template — drawn as a ruled folio page — is designed to transfer directly into the format a valuer or legal professional would expect to receive. It is our own design and not available elsewhere.
The Boundaries Plate
Every completed archive includes a printed boundaries plate — a short, plain-language statement that the archive records and organises rather than advises. This is handed to the family for their own reference and is intended for any professional who later receives the archive, confirming the scope of work carried out.
The Maintenance Sheet
Family archive assembly includes a maintenance sheet: a one-page guide explaining how to add new documents to the collection over time, using the same naming convention established during the engagement. Families do not need to return to us each time a new document arrives.
Small-Group Briefing Format
Our Terminology Briefing runs in small groups, which means families hear each other's questions and a broader range of scenarios is covered in the session than any one family would think to ask about alone. The printed glossary reinforces the session and gives family members something to consult at home.
