How Vellumkin Came to Be
Vellumkin grew from a straightforward observation: when a family member passes, the paperwork left behind is often scattered across shoe boxes, filing cabinets and digital folders that nobody fully understands. Solicitors and estate planners can help families work through the meaning and effect of those documents — but only once someone has gathered and labelled them. That gathering step, which takes considerable time and steadiness, was going unserved.
The founders of Vellumkin spent several years working in document management and records administration before turning their attention to this particular gap. They noticed that families arriving at legal appointments were often flustered — not because the law was impenetrable, but because the papers themselves were disordered. A glossary was missing. A contents list would have helped. Nobody had told them which document was which.
Vellumkin opened in Kuala Lumpur to address that earlier step. We assemble, label and index. We run educational briefings in plain English and Bahasa Malaysia. We produce a written gap list and hand families a directory of qualified professionals. Then we step back — because the interpretation and advice that follows belongs with people who hold the relevant licences, not with us.
Our office at Jalan Tun Perak is deliberately set up as a records room rather than a consulting chamber. There is a long table, good lighting, and enough shelf space to spread out whatever a family brings. The atmosphere is unhurried. Families take their time. We take careful notes and produce accurate records.

We do not interpret documents, offer legal or financial opinions, contact any institution on a family's behalf, or provide any service that requires a professional licence. This boundary is stated in writing in every engagement.

Nadia Rashid
Lead Archive Coordinator
Nadia spent eight years in corporate records management before founding Vellumkin. She oversees each archive assembly engagement and writes the contents index for every completed collection.
Zafri Chong
Document Briefing Specialist
Zafri leads the Terminology and Documents Briefing sessions. He developed the bilingual glossary used across all Vellumkin programmes and maintains the practitioner directory for the Klang Valley.
Priya Lakshmanan
Provenance and Register Lead
Priya manages the four-month Provenance and Register Programme. With a background in archival studies, she structures chronologies and provenance notes so they transfer cleanly to legal and estate professionals.
How We Work
Our Standards and Protocols
Document Handling Protocol
All original documents are returned to the family at the end of every appointment. Nothing is retained in our office between sessions except appointment notes covered by our data protection policy.
Data Protection — PDPA 2010
We hold personal data in accordance with Malaysia's Personal Data Protection Act 2010. Appointment notes are kept only for the duration needed to complete the engagement and then destroyed securely.
Written Scope Agreement
Every engagement begins with a written scope agreement that states clearly what Vellumkin will and will not do. Families receive a copy before the first appointment so there is no ambiguity about the nature of the work.
Two-Person Verification
Every index and contents page is checked by a second team member before it is handed to the family. This reduces transcription errors and ensures that the archive accurately reflects what was presented during the appointment.
Bilingual Output
All glossaries and document checklists are produced in English and Bahasa Malaysia so that every member of a multi-generational Malaysian family can read and refer to the materials we produce.
Referral Integrity
Our practitioner directory lists qualified professionals — solicitors, estate planners, and others — on the basis of registration and location alone. We receive no referral fees and have no commercial arrangement with any firm listed.

Records Work Done With Care
Family archive work in Malaysia sits in a particular space: families need help with the physical and organisational reality of their papers long before they are ready — or able — to sit down with a solicitor. Vellumkin addresses that preparatory stage with the same discipline a records professional would bring to any institutional collection.
We draw on archival standards for naming, labelling and indexing. Each folio in a completed Vellumkin archive carries a consistent reference code, a physical label, and an entry in the printed contents page. When a family takes that archive to a qualified professional, the professional can find any document in under a minute. That is the practical value of what we do.
Malaysian families often involve multiple generations in estate matters, and those generations may speak different languages, hold different levels of familiarity with formal documents, and live in different parts of the country. Our bilingual approach — English and Bahasa Malaysia — and our structured gap list are designed with that reality in mind. The older parent who receives the glossary should be able to read it as easily as the adult child who attends the briefing session.
We also recognise that the period surrounding an estate is not a neutral time for families. The work we do is calm and methodical because families deserve a working environment that does not add to the pressure they are already carrying. Appointments are scheduled with enough time. We do not rush. The archive that leaves our table is complete and correct, not hurried.
Vellumkin is based at Jalan Tun Perak in central Kuala Lumpur, accessible by rail and served by nearby public parking. We see families from across the Klang Valley and, on occasion, from further afield when a family's papers have come to rest in the capital.
